An AI roadmap for small and medium businesses

AI is no longer a big-company game. Today an SMB can use capabilities that a decade ago required enterprise budgets — at reasonable monthly cost. The problem is not access to technology; it is knowing where to start. Here is a no-hype, actionable roadmap.

Step 1 — Pick the pain point, not the technology

The wrong start is the sentence 'let's get AI'; the right one is 'this task eats too much of our time'. Pick one repetitive, rule-bound process your team spends hours on every week: writing proposals, answering customer questions, product descriptions, report preparation. One process, one measurable goal.

Step 2 — A small pilot on real data

Run a 2–4 week pilot on the chosen process; limit it to one team or one channel. Write the success metric up front: 'cut proposal time in half', 'have the assistant resolve 60% of questions'. The pilot must run on your real data with your real customers — results from demo data will mislead you.

Successful AI projects start not with a big budget, but with one well-chosen small problem.

Step 3 — Measure, then scale

When the pilot ends, look at the numbers: time, cost, error rate, customer feedback. If they are good, carry the same setup to a second process or channel and briefly train the team on the tool. If not, fix the setup or switch processes — because you started small, quitting is cheap too.

Four common mistakes

Trying to automate everything at once; skipping data and knowledge-base preparation; closed setups locked to a single provider; and leaving the team out of the process. All four end the project before it can produce numbers. One hidden-cost warning: with pay-as-you-go models, an unmonitored bill will surprise you — track consumption from day one.

Time and cost expectations: a well-chosen first project stands up within a few weeks and usually starts paying for itself in the first month. At Gece, in a discovery call we sift your processes together, pick the right first candidate and build the pilot with its metrics — let's draw your roadmap together.
